We are seeking an experienced Fractional Controller to provide leadership and oversight for our finance and operations functions while helping us implement the best practices needed to scale.

This is an ideal opportunity for someone who has worked within a larger, mature MSP environment and wants to help a growing MSP build the financial, operational, billing, procurement, and administrative processes necessary for long-term success.

Growth Opportunity

While this role is initially structured as a fractional position (10–20 hours per week), our goal is to find a long-term partner who can help build and scale the finance and operations function.

As Charlotte IT Solutions continues to grow, we anticipate the opportunity for this role to expand into a larger leadership position, including the potential for a full-time engagement for the right candidate.

Position Overview

The Fractional Controller will serve as the leader of Charlotte IT Solutions’ finance and back-office operations, overseeing accounting, billing, procurement, financial reporting, and selected administrative functions.

A key objective of this role is to bring proven MSP financial and operational best practices into the organization. We are specifically seeking someone who has worked within a larger MSP and understands what strong finance, billing, procurement, and reporting operations should look like at scale.

The ideal candidate will not only provide financial oversight but will also help improve processes, develop team members, implement operational discipline, and build a scalable foundation for growth.

Key Responsibilities

Financial Leadership & Oversight

  • Own the financial oversight of the organization
  • Ensure accuracy and integrity of financial reporting
  • Oversee month-end and year-end close processes
  • Review financial statements, reconciliations, and key accounting activities
  • Monitor cash flow and financial performance
  • Provide financial insights and recommendations to leadership
  • Develop financial controls and reporting standards
  • Ensure accounting processes are consistent, scalable, and auditable

Billing & Revenue Operations

Own the accuracy and effectiveness of the company’s billing and revenue operations.

Responsibilities Include:

  • Oversee weekly and monthly billing processes
  • Ensure invoices accurately reflect:
    • Managed Service Agreements
    • Contracts and recurring services
    • Project work
    • Time entries
    • Procurement and pass-through expenses
    • Usage-based billing
    • Autotask PSA data
  • Identify revenue leakage and billing discrepancies
  • Improve billing accuracy and operational efficiency
  • Ensure alignment between service delivery, contracts, procurement, and invoicing
  • Establish best practices for recurring revenue management

Procurement & Vendor Management

Provide oversight and leadership for customer and internal procurement activities.

Customer Procurement

  • Oversee procurement processes for hardware, software, licensing, and technology solutions
  • Ensure purchases align with approved quotes, contracts, and sales orders
  • Ensure all customer purchases are accurately billed
  • Improve procurement-to-billing workflows
  • Monitor procurement margins and profitability

Vendor Management

  • Review vendor relationships and purchasing processes
  • Ensure vendor invoices are reconciled accurately
  • Improve purchasing controls and accountability
  • Assist with vendor contract management and renewals

Internal Procurement

  • Oversee purchasing for company hardware, software, subscriptions, and operational needs
  • Ensure purchasing processes align with budgets and approval requirements
  • Improve procurement visibility and reporting

Financial Reporting & Business Intelligence

  • Review and improve monthly financial reporting
  • Develop meaningful operational and financial KPIs
  • Improve management reporting and visibility
  • Create dashboards and reporting tools that support decision-making
  • Deliver variance analysis and performance insights
  • Help leadership understand trends, opportunities, and risks

Process Improvement, Automation & AI

We are actively seeking someone who can modernize finance and operational processes.

Responsibilities Include:

  • Evaluate existing workflows and identify inefficiencies
  • Implement MSP finance and operational best practices
  • Improve billing, procurement, and reporting processes
  • Introduce automation where appropriate
  • Leverage AI tools to improve efficiency and accuracy
  • Develop scalable systems and documentation
  • Reduce manual work and increase operational visibility

Human Resources & Administrative Oversight

Provide oversight and guidance for administrative and people operations processes.

Responsibilities Include:

  • Ensure onboarding and offboarding processes are documented and functioning effectively
  • Provide oversight of payroll preparation and employee administration processes
  • Review and improve HR-related workflows and documentation
  • Ensure employee records and operational processes are maintained appropriately
  • Support leadership in building scalable people operations processes

Leadership & Team Management

The Fractional Controller will provide leadership and oversight for the company’s finance and operations team.

Responsibilities Include:

  • Lead and develop the accounting, billing, procurement, and administrative functions
  • Provide oversight and direction to two existing team members responsible for day-to-day operational activities
  • Establish accountability, performance expectations, and operational standards
  • Evaluate team structure and identify opportunities for improvement
  • Develop and document standard operating procedures
  • Build scalable workflows that support future growth
  • Mentor team members and foster a culture of ownership and continuous improvement
  • Partner with leadership to assess future staffing needs and organizational structure

Transition Expectations

  • The Fractional Controller will initially work with the existing team structure and gradually assume leadership responsibilities for the finance and operations function.
  • A key objective of this role is to evaluate current processes, identify opportunities for improvement, and help leadership build a scalable finance and operations organization capable of supporting continued growth.

Qualifications

Required

  • 7+ years of accounting, finance, controller, or operational finance experience
  • Strong hands-on QuickBooks experience
  • Experience overseeing:
    • Billing operations
    • AP/AR functions
    • Financial reporting
    • Reconciliations
    • Month-end close
  • Strong organizational and project management skills
  • Ability to manage multiple priorities simultaneously
  • Exceptional attention to detail
  • Strong communication and leadership skills
  • Ability to work independently and take ownership

Strongly Preferred

  • Experience working for a Managed Service Provider (MSP)
  • Experience working within a larger or mature MSP environment ($10M+ revenue preferred)
  • Experience with Autotask PSA
  • Deep understanding of recurring revenue and service agreement billing
  • Experience implementing accounting and operational best practices
  • Experience overseeing procurement and vendor management
  • Experience with workflow automation and AI tools
  • CPA, CMA, ACCA, or equivalent accounting certification
